Refund and Terms of Purchase Policy (summer bundle)

Phoenix Sports, Inc. Refund and Terms of Purchase Policy
EFFECTIVE DATE: October 17, 2024

You confirm that you are registering your child(ren) for the previously listed Phoenix Sports program(s) and that you have read and understand these Terms of Purchase, and the Terms of Service which are incorporated by this reference. Your child(ren)’s enrollment and participation in our programs are subject to the following payment, transfer, and cancellation terms:

 

ENROLLMENT AND PAYMENT:

Payment is due 1 week prior to your first summer camp date selection, either in full or, where available, according to our Phoenix Payment Plan. Customers may not participate in Phoenix Sports programs until your first payment and/or your first of 3 equal payments has been completed and processed.

If you are eligible for and have elected our Phoenix Payment Plan option, payments will be processed according to the schedule displayed at the time of registration and included in your confirmation email. Should a payment fail, Phoenix Sports will notify you via email and provide you an opportunity to re-attempt your transaction and/or update your payment method. Failure to complete a scheduled payment following notification may result in cancellation of your purchase, subject to the standard terms below.

 

Phoenix Payment Plan Policy

The Phoenix Payment Plan allows you to spread your summer camp bundle payment across multiple installments based on the number of weeks you enroll in. Payments are structured as follows:

Payment Schedule:

4-6 Week Bundle: 2 installments

• 1st installment (weeks 1-3): Due 1 week prior to your first week’s start date.
• 2nd installment (weeks 4-6): Due 1 week prior to your 4th week’s start date.

7-8 Week Bundle: 3 installments

• 1st installment (weeks 1-3): Due 1 week prior to your first week’s start date.
• 2nd installment (weeks 4-6): Due 1 week prior to your 4th week’s start date.
• 3rd installment (weeks 7-8): Due 1 week prior to your 7th week’s start date.

9-10 Week Bundle: 3 installments

• 1st installment (weeks 1-3): Due 1 week prior to your first week’s start date.
• 2nd installment (weeks 4-6): Due 1 week prior to your 4th week’s start date.
• 3rd installment (weeks 7-10): Due 1 week prior to your 7th week’s start date.

Important Notes:

• The first payment is due at least 1 week before your first camps start date.
• Refer to the Tiered Refund & Roll-Over Policy for cancellations or schedule adjustments.

This flexible plan makes it easy to pay for your summer camp experience in smaller, more manageable amounts.

 

Tiered Refund Policy

For cancellations made up to 1 week prior to the camp start date, the following refund structure applies


Cancel a week 72 hours or more before the camp start date:
• Receive a 95% refund of the total paid for that week.

Cancel a week up to 72 hours prior to the camp start date:
• Receive a 75% refund of the total paid for that week.

Cancel a week up to 24 hours prior to the camp start date:
• Receive a 25% refund of the total paid for that week. 

Important Notes:

  • Cancellations within 24 hours of the camp start date are not eligible for a refund.
  • Refunds will be processed within 10-14 business days.

 

Roll-Over Policy

In the event a parent needs to cancel a week and/or a single day of camp, that week and/or single day is eligible for our roll-over policy:

  • Roll-Over Flexibility:
    Any summer camp weeks and/or single days purchased can be rolled over into another available week of camp.

  • Program Credit:
    If a summer camp week does not fit your schedule, you may use the credit towards any other program that Phoenix Sports offers, such as soccer, basketball, baseball, fitness, or another holiday school break camp.

This flexible policy ensures that your enrollment value is retained even when changes to your schedule occur.

 

CANCELLATION BY PHOENIX SPORTS, INC.:

If Phoenix Sports, Inc. cancels a camp session for any reason within its reasonable control, you may choose between a 100% refund to the original payment method or a 110% future camp credit to be redeemed for services by August 31, 2026. In the event of an interrupted camp program, the refund or future camp credit will be prorated for the missed portions of the program.

Phoenix Sports offers an Early Enrollment sale in communities where we plan to hold camp during the upcoming summer. However, if during the upcoming summer camp season Phoenix Sports does not offer a camp location within 15 miles of the community you designated at the time of your early enrollment, we will transfer your enrollment to another convenient location at no cost or issue a full refund to your original payment method.

 

Cancellations/Modifications Required by External Events Beyond Phoenix Sports’ Reasonable Control

Phoenix Sports shall not be liable for the need to cancel, modify, or postpone camp due to events beyond our reasonable control (a "Force Majeure Event"). Phoenix Sports incurs substantial non-recoverable costs in planning, preparing, and pre-paying for camps. If Phoenix Sports cannot operate a camp as scheduled or it is interrupted due to a Force Majeure Event, customers will receive a credit for all monies paid, redeemable for services by August 31, 2025. The future camp credit will be prorated for any missed portions of the program. Cancellations, modifications, or postponements due to these events shall not be considered a failure to provide services.

Force Majeure Events include, but are not limited to:

  • Epidemics or pandemics, or other public health emergencies (e.g., the COVID-19 pandemic)
  • Severe weather or natural disasters such as hurricanes, earthquakes, tornadoes, floods, fires, or landslides
  • War (declared or undeclared), terrorism, or sabotage
  • Violence, riots, civil commotion, or labor disputes
  • Government orders, sanctions, quarantines, or restrictions affecting camp activities
  • Chemical or radioactive contamination
  • Any event that makes it impossible or illegal for Phoenix Sports to offer camp services as originally contracted
  • Unavailability of camp facilities due to any of the above events.

Phoenix Sports will communicate any changes promptly, ensuring that customers are informed of their options.
